Monday February 2, 2004

Present: Jamila al-Bhakailiya, Katrine Lyndesay, Geoffrey Gryphon, Corwyn, Emma the Clever, Serena, Quintus, Elenora the Tilemaker, Magdalena, Danielle, Juliette, Bilgisayer Tajir al-Hissoon, Fiona Villon.

Meeting called to order at 8:01pm

Officer’s reports:

Seneschal

The canton needs to raise money for the event @ $700. Keegan is busy for the next two weeks so any questions or concerns can be directed to Melodie until after the 14th.

Exchequer

We have approx $525 and change in the bank.  We have outsanding debts to Jamilia and reimbusing for herald submission fees.

We have joint status with Bhakail.  In reality we should not need to apply to the baronial exchequer for checks - so we are working on some way to get signatory power to our exchequer.  Fiona is going to work this out with Asbjorn.

By Jan 31st we will have letters noting charitable donations.

Chatelaine

No new news.  Need help submitting request for warranting as Chatelaine.

Mistress of Arts and Sciences

I am now in charge of the Misc A&S and Discussion Groups tracks for the Beltaine Event. Cellach is doing the Textiles track, William is brewing and hopefully Bruni will do the Culinary track. Contact the appropriate person if you wish to teach.
Hopefully we can have the class listings posted soon.

I'm working on a Canton A&S website and hopefully it will be operational before Beltaine.

Domesday Book.  I have four pages done and 1 in progress and 1 still to start. Don't forget to send me your information.  If I do say so myself I think the book is looking pretty good, and now I have a new printer that is a flat bed scanner so I can copy in color.

No news on the Canton Device submission.   Personal devices being addressed.

Working with Lord Robin Gallowglass, EK Web Minister, to move our website to the EK site.

Marshal of Fence

I'm investigating an indoor site for fencing practice - the Ridley Park Borough Facilities. I have an application for room use, and need to see about getting on their list of eligible organizations. I also need insurance paperwork.

Who do I need to see about paperwork?  The Ridley Park facility will onl reserver rooms for non-profit organizations proven to contribute to the community, which we clearly are,  especially since it will be open to anybody who wants to come in and learn.  Need to get on their list.  Bilgisayar will get him the paperwork that we give to sites.  We need to create a song-and-dance pamplet for potential sites.

Jim/Earl is still working on a list of sites.

William is working on a site.

Chronicler

Thanks to Lady Areusa Salvadorez for her help with the PDF file. I was unable to find free HTML to PDF conversion software that works. Areusa has Word to PDF conversion software, so in the end I made a Word
file and sent it to her. I'm looking for a way to eliminate the Word file step with direct conversion.

I'd like to focus the April issue, which is the themed spring issue, on kids -- by kids! I'll be looking for writing and art from our young lords and ladies. More on that as it draws closer.

I would like to publish a post-event report of the Beltaine Brew and Brawl in the May issue. Please contact me at canton_chronicler@yahoo.com if you are interested and involved in planning the event.

Beltaine Brew and Brawl

Children 10 and under must be supervised at all times. Especiallly because of the pond

Fire Friday night till Sunday is Keegan's baby.  Will probably be near the pond.

Camping in flat area.

We have approx five carports for classes. 

Is Cellach doing classes?  She says no, but maybe we can sweet talk her.

Borrowing Caer Adamant's pavilion for common area and dayboard. 

Archery near the hill since there is so much space.

Dayboard maybe near the top of the hill and see the fighting and archery.

Need to arrange a chirgeon - Keegan has an ambulace crew.  We want to make sure we have coverage at night. Danae or Una might be talked into this.

We are not going to comp people unless we are really desperate for a person to hold a particular position.

Feast ideas: Corned beef and cabbage might be too expensive.  Irish stew which has lamb.  Vegetarian: leek and oatmeal soup. sweet peas and mint.  Curds and Whey for dessert, Scones, milk-egg-sheese pottage. No Leeches soup.  No blood pudding. 

Feast - sit down?  Buffet style?  Maybe rent tables and have people bring chairs.  Prefer that we recommend that people use camp chair and laps.  Buffet style means that people don't have to sit down all at once.  We would need servers both at feast and at dayboard to dish out to make sure that people who come first don't take twice their share.

Do we rent tables and chairs?  Keegan says we might be able to get tables and chairs for free from fire companies.  What if it rains and the equiment gets wet?

Katrine Contacted branslers, waiting to hear, jugglers - we have one; it's their finals week so we're waiting to hear. 

For any event - a post event comments, feedback forms.  Lessons learned.  Maybe have a feedback form handed out at trool to be handed back in to troll.

Need to make a checklist for what is needed for the event.

Need a troll committee.  Autocrat should make sure that troll is running smoothly.  Bathroom breaks, food. Lost and found, message board near troll.  Need white board.  Gopher for troll  Walkie talkie for autocrat with other end at Troll.  Troll needs to be a gate-guarded thing. Site tokens should be clearly visible.  Need to sign up for shifts.  Troll needs to run 24/7.  Troll becomes command central.  Security needs shifts too. 

Bhakail is welcomed to help and participate.  Volunteers can be invited but not necessarily desperately recruited

Keegan - do we know about the capping yet?  Can we pay half price for kids 10 and under?

Melodie - can we increase the price for the weekend? what is the kids' price? Do we charge extra for camping (meaning a discount for people who don't camp)?

New Business

Bilgisayar: The SCA Image. I got an e-mail last month.  There is a large horse event in Westgrove, chester county.  They are interested in having us do a dfemo.  We can go to the site any time we want.  It's a little bit differrent than the demo we did at may day. If we decide to do it, They want us to do a write up, becuase they do press releases two weeks ahead of time.  It's not a standard event; we'd need to do something a little polished.  It's trials for an international horse event, so it's pretty big.  Sandy is considering doing the Bishop Geoffrey Tourney there.  Stained glass guy.  Tilemaking demo.  Merchants will be together and pay $250 for a spot.  It's Sep 10-12, which is the Bishop Geoffrey Tourwy.  Sandy is considering merging the two events.  It's a free site.  We need to be active 10-4, we can do feast for ourselves.  We need to cover costs, so maybe a $3 entrance fee for fighters, and then also a feast fee. They have a gate fee, which is $10 per car.  Only staff get comped to get in this event, so we need to care for fighters and cars. 

We need to have our seneschal or a proxy to the bhakail meeting every month.  We want to make sure that we keep our friends in high places happy. 

Motion by Jamilia: We need a new night for the meeting so our seneschal can attend.  Seconded: Fiona.  Motion passes.

Comments for the good of the Canton

Next Meeting is scheduled for Monday March 8, 2004 at Elenora's house, barring major snow/ice.  In the winter months we'll play it by ear.  We can do e-mail reports if the weather prohibits a meeting.
