Monday December 1, 2003

Present: Jamila al-Bhakailiya, Fiona Villon, Lord Keegan MacNaughton, Melodie de l’ours Blanc McNaughton, Corwyn, Emma the Clever, Serena, Quintus, Elenora the Tilemaker, Magdalena, Danielle, Juliette, Lord William Graham.

Meeting called to order at 8:07pm

Officer’s reports:

Seneschal

Waiting for responses from Kingdom MOAS and Kingdom Chronicler regarding warrants.  Need Del's Paperwork and contact info to get warrants.  Need Exchequer, and MOAS-or-Herald.  Others are less critical. 

Everything has been relatively smooth and not a lot has transpired. 

Been getting reports.  Can't submit for you, but is saving copies to file. 

Thanks for getting things done, everyone is doing a good job.

Exchequer

We have approx $525 and change in the bank.  We have outsanding debts to Penni and reimbusing for herald submission fees.

By Jan 31st we will have letters noting charitable donations.

Chatelaine

We got an e-mail from a woman named Trisha who is interested in Armour and fighitng.  She has been invited to Yule and has been given contact phone numbers for chatelaine. 

Robin won't be available until after Christmas (per corwyn).

Lord William has a girl Laurie at his church who's interested. 

How about a newcomer's table?  How about gold key?  Yes to both.  Lady Philadelphia and Elenora will man the table. 

Lord William has a videographer who might do a demo video for us. 

Jamilia has invited several teachers. and a reporter from Phialdelphia Weekly.

Mistress of Arts and Sciences

Yule has lots of classes. and the website is up to date. 

Brewer's meeting is next wenesday at Rock Bottom in King of Prussia.

Garb workshops are going on. Meeting tomorrow. 

Herald

According to an email I got from Eastern Crown Herald on Tuesday, I already am warranted. But I didn't send a letter or anything. And I can find nothing in the herald's handbook about warranting.

Another topic I'd like to bring up is the need for a deputy herald. I know that William Fitzwater is listed as my deputy, but he has already said that he only wants to do voice heraldry. We need a deputy for submissions (paperwork). Lord Keegan had given me the name of his friend who would like to do this, but I have lost the email address. If Lord Keegan can contact his friend before the meeting, maybe the officers present can vote on him on Monday.

Baronial Herald Erikr has volunteered to pick up as much as needed. 

NO KNIGHT MARSHAL REPORT FOR NOW.

Webmistress

Yule Auction photos are up. Still need to put up photos from Deiniol from Pennsic, from Katrine from Pennsic, from Elenora from the May 10 Demo, and newspaper article by Magdalena.

Yule site up to date as of 6:30 tonight.  No camera with me. 

Beltaine page in progress. 

New device.  Old banners still good. 

No pictures from Kingdom Crusades.  At least not good ones.  The only ones we have are very dark.  Rashid is trying to lighten them.

Marshal of Fence

No practices because no site. 

We have not heard from the school. 

Does the canton want Lord William to pursue his lead for a building? Yes.  Lady Mel will send the "what is the SCA" to Lord William to give to the site. 

We still have an outdoor site for warm weather.

Chronicler

Looking for submissions for the newsletter due by Jan 20.

Publishing the guidelines soon.

Report due on Dec 15th to KC which she plans to submit.

Special committees

Bhakail Yule Revel

It's Saturday. 

Beautiful program cover.  She has the program. 

Cellach e-mailed the schedule.  There are only two classes where over 21 ID required. 

Kids classes designed to be in a group.

We have auction items!  See web page.

Ellen donating set of dishes - service for 12.

Rent-a-brewer donated by Lord Keegan.

Christof is illuminating a Chaucer poem to donate. 

Need storytellers for Kids.

Put sign ups for volunteers (servers/clean-up) at troll. 

Last count just over 90 people registered for yule - only four off-board. We needed 95 to break even, and it looks like we're going to make that.  Only 3 people are comped - Isabelle, Lorcan, and Sheri.  We considered comping the Branslers for half, but they all refused. Comping is being generally discouraged for the future.

There is a going concern known-world-wide - there are a lot of people who have a lot of awards who aren't members. 

Beltane Brew and Brawl

We had our organizational meeting. After Yule we're going to have a site visit and we'll plot out a map.  

EK brewer's guild has been notified.  Baron Sean notified by phone.  They have been offered the opportunity to teach. 

Notice has been posted on EK site. 

Ham and Lamb being strongly considered for menu.  These are pretty standard fare for Beltaine celebrations.   We've been told to have eel soup.  This is not being considered.

Who's who: Mel and William co-autocrats.  William running brewing; Randy and Sir Magnus will run martial, Geoff and Kat Fencing, Bil and Fiona doing feast and dayboard.  Fiona and Jamilia and Elenora doing children's activities.  Lady Cellach doing A&S classes. Keegan setting up the tavern. 

Barony and Canton splitting the proceeds.  Lorcan has a problem with a 50-50 split.  Bilgisayer agrees.  The Barony by-laws state that if we use baronial funds, then we have to split the profits 50-50.  Chraging $5 per head, we may be able to get a cap.  We might be able to do this with our own funds and therefore not have to split the proceeds. 

We have a lead on porta-potties.  We won't owe money to the site until end of the event.  Food will be up-front.

Tents w/Asbjorn - Owl's Reste is the weekend before, so if it rains, it's rain date is our event, so Asbjorn would be going to Owl's Reste.  Borrow/rent the Shire's tent. 

Talking to Padraig and Corwyn about archery for the event.  Thrown weapons Marshals too.

Next meeting for Beltaine committee will be posted.  After Yule.  Meeting to happen after the holidays.

Old Business

Archery is going on.  Corwyn is calling practices and will loan a 50-lb bow to anyone who needs to borrow equipment.  Robin will also bring her bow for loan.

Pavilion.  Need to talk to Adolphus about where he got the top.

New Business

In Jan looking for volunteers for Demos at Indian Lane Elementary

20th december buying 60lbs of honey in in Lancaster.  We can get it $1.35/lb if we buy 60lbs.  They will take orders.  William and Bilgisayer.  5-gal carbouy for $13 (usually $20 at brewer store).

Is there any fundraiser the canton can do before Beltaine to raise funds. Bake sale for Yule?  Raffle a Jack Cake?

No discussions of recent news events during official SCA discussions.

We want kids' activities to continue.

Comments for the good of the Canton

Next Meeting is scheduled for Monday Jan 5, 2003 at Elenora's house, barring major snow/ice.  In the winter months we'll play it by ear.  We can do e-mail reports if the weather prohibits a meeting.
