Canton Meeting Minutes 2003 June 9

Meeting came to order at 8:30pm

Officers' Reports

Seneschal
Received an e-mail from Dame Katriona Kingdom New Groups minister; fix expired cards; expect four weeks; we will be official when we are posted in Pkiestaff and announced in a Royal Court. Expect possibly southern region or Pennsic. She says everything looks great.
Packet was mailed Monday last week; received card today notifying that it had arrived.
Lady Melodie highlighted the map that was submitted.

Insurance and official notification: We have the ability to insure the landowners who are loaning us space, so our canton policy under my tenure in office will be that we will always go through proper channels. If you (SCA member) are hurt at an event your membership waiver serves to make you exempt from insurance remuneration. Our event insurance covers the landowner and bystanders mainly. Because we are not an official group yet, publishing our own newsletter would not satisfy the notification requirement.

Lord Sterling dela Rosa of Iron Bog has invited us to participate in fighter practice and is also a knight marshal. Sundays.

Please be careful what you post on public sites. People we don’t even know were e-mailing the seneschal. We are not even an incipient group yet, so we don’t want to stir up any hornets’ nests that we don’t absolutely need to. The recent post about the fighter practice has had the required result and we won’t need to carry this torch longer. We went through the appropriate steps to make our event official and the unfortunate delays from official channels meant that our first fighter practice could not take place.

Once we get our incipient status we will want a chronicler so that we won’t be dependent on the channels which are not currently efficient.

Bilgisayar: You can put the newsletter in writing and collect fees. If you offer it online for free you cannot charge for the written version. Postingto a website does not make a newsletter official. Sending it either by e-mail or by postal to requesting subscribers makes it official. (unofficial – if you charge the online people a penny then you can still charge postage fees for snail mailed versions).

Castellan/Chatelain
No new events. Reported to Baronial castellan.
Need a copy of demo contacts.
Next scheduled demo is the craft fair in Media.

Mistress of Arts and Sciences
Found the plans for a rope bed – posted it on the e-mail list as well.
Garb workshops at Elleanora. Worked on Cholis. Finished pants. Next week fine tune cholis and start on chemises. Workshops open to everyone. From now until Pennsic we will be concentrating on warm weather garb. (Rashid is a master!)
Brewers meeting this Wednesday 7:30 at John Harvard’s in Delaware on 202 near concord mall./

Herald
Provided Phonetic representation of "The Valley of the Black Squirrel" (see home page) and "Nuts go in, but don't come out" (see FAQ). 

Wm Fitzwater reported talked to Ishtvan (kingdom herald) at Barren Sands informally he likes the name and thinks he can approve it.
We can’t submit the device until we get our incipiency approved. Can’t use Laurel leaves until we’re official.

Knight Marshal
Fighter practice cancelled this week due to lack of publishing which means that the event is not covered under insurance.
Lord Magnus says If you get a letter signed by the seneschal you can post it as official.

Special Committees

Post Prom Party - Shererazade
Post prom party was a big success Friday night from midnight to 6am.
Tarot card readers were paid in advance and did not show.
As a result we may have access to the community center for events and practices.
Jester from NY, fighters from Iron Bog. The Parent’s association is the group with whom we need to be “in” and we now have that. We may have new fighters and the maintencance lady and an embroiderer. They have a great HS gym that we hope to be able to use. Hopefully we will have pictures to post soon. This is a Delaware county zip code Newtown Square 19073 (not one of ours but we can arrange it when we get incipient). Was Sherry’s mother’s best friend. We may have access to a nearby church as well. We talked to the new groups gal and because we are a canton, not a shire we can draw our borders to orphan parts of the barony.

Yule
Lord William motioned. Bilgisayar seconded that we form a committee to bid on Yule.
Do we need to run it entirely ourselves? No we want to enlist help of baronial resources and out of barony resources. Gina has volunteered to be autocrat; a cook from the barony has volunteered. Motion passes with one nay.
Classes from last year were well received. A&S competition run by Baronness Genvieve won last year as baronial A&S champion so she will be running the competition. Date has been set as Dec 6. $900 for Parkside fire house for 10 hours. Parking is somewhat adequate. We want set up time. Site is wet. Need a volunteer to make site tokens. Judith the confused likes doing that – Ellen is interested; pewter casting workshop is now in the works; Del may get involved. Gina will be setting up separate meetings for the Yule committee.


Beltane Brew and Brawl
Just got hold of the site owner today –Del and Mike will schedule to meet with him one evening next week. Any known conflict for first two weeks of May – they plant their fields the third week of may so we can’t hold the event after that. Crown tourney is usually early may. Actual Beltane is the last weekend of April (April 30) so we want our event to be close to that. Plus we’ll have a big bonfire. Del is investigating having an equestrian demo at this event. We can pretty much do whatever we want, including woods battles, siege weapons, and archers. Everything is moving forward. Theme – Beltane is fighting and fertility. Beltane is an ancient druid festival. Started a fire Friday night and it burned through to Saturday. Pig/beef roast catered. $500 to feed 100-200 people. Produce stand on site and they bake their own bread on site. Site fee will be approx $12 and feast will be approx $8. We have the east kingdom brewers involved. 12th century Druid fertility festival theme. Classes too. Classes at the buckland cross event went over really well. Sherry has the doc for the rites for Beltane. We want to really talk up our people we want recognized at our event so the Baron and Baronness can recognize them at this event. Scroll people are lined up already.

Old Business

Camping together – Landsknect. Mike is “off” Friday so he can do a land grab Friday. Del has a drum class Friday night so he will go up early sat. Notify Lord Keegan so he can reserve a space for you. He can make the rope bed in an afternoon, so if you want one let him know. Reserving 10 tents.

Pennsic. Planning on a dinner to celebrate the canton regardless of whether we get recognized at southern regional or at pennsic. Brewing for pennsic dinner has begun. Doing a peppercorn beef or something. Wed is the ek court. Wed is also the kw brewers. Monday or Tuesday seems fine.

Pavilion workshops/projects
Nothing will happen until after Pennsic. Canvas is available. Tent patterns are all over. Will be labor intensive. If we line them up and take one weekend per month through the winter we can pop them all out.

New Business

Embroidery Guild - Fourth of wed every month this month lady from athena’s thimble will be present. She is the person you’ll need.

Site found - Deiniol found a dry site for $200 for all day. May not be in canton. Would be good for a schola. No classroom space.

Elwyn - Del talked to a guy from Elwyn. Doesn’t sound like they have much we can use. Except a 10,000 sq foot carpeted gymnasium for $50/hour (still very cheap). Wants to meet the guy to see what’s truly available. Might be good for a barter day or a sewing day.

Lord Keegan contragulates us all on a good job so far and encourages us to continue in this vein.
